Automations
Build your own automation
Pick a trigger, add steps, and split people down different paths with if/else.
3 min read
If no template fits, build your own. Every workflow is a trigger and some steps.
Start one
- Open Automations.
- Choose Start from scratch, from the button at the top if you already have workflows.
- Name the workflow.
Pick a trigger
Under Starts when, choose what sets it off:
| Trigger | Starts when |
|---|---|
| Contact added | Someone new is added, by hand, a form or a booking |
| Tag added or Tag removed | A particular tag changes |
| Deal moves stage | A deal is moved into a stage you pick |
| Deal won | A deal is marked as won |
| Appointment booked | Someone books, in any calendar or one you pick |
| Before an appointment | A set time before it starts |
| Appointment completed | An appointment is marked as completed |
| Message received | A contact texts, emails or chats in |
| Form submitted | Someone fills in any form, or one you pick |
| Review left | A contact leaves a review |
| Invoice paid | A contact pays an invoice in full |
| Quote accepted | A contact accepts a quote online |
| Link clicked | A contact clicks a trigger link |
| Task completed | Someone ticks off a task about a contact |
Add steps
Use Add a step to choose from:
- Messages: Send a text, Send an email, Ask for a review.
- Timing: Wait.
- Contact: Add a tag, Remove a tag, Update a custom field, Add a note, Create a task.
- Deals: Move their deal, Create a deal.
- Paths: If/else, Remove from workflow.
Split with if/else
An If/else step sends people down a Yes or a No path. You can check a tag, whether they have a mobile number or email, a custom field, the stage of their deal, or whether they've Replied since they started or Booked since they started.
The check happens when they reach that step. After either path, they carry on with the step below it. Use Remove from workflow to end it for them there.
Let people go through again
By default, each contact goes through once. Tick Contacts can go through more than once for things that repeat, such as a yearly service reminder.
Good to know
- Saved changes apply to people already part-way through, from their next step.
- Use Discard to throw away unsaved changes.
- Duplicate workflow in the More actions menu is the safe way to try a variation.
