Roles: who can do what
Give each person a role in each account, and see exactly what it allows.
2 min read
A role decides what someone can do in an account. Each person has one role per account, so the same person can be a Manager in one business and Read only in another. Owners and admins of the agency always have everything.
The ready-made roles
| Role | What it allows |
|---|---|
| Owner | Everything, including choosing roles for other people. |
| Admin | Everything in the account except choosing roles. |
| Manager | Every app and every record, and can open Team and HR without editing staff records. No billing or integrations. |
| Staff | Their own contacts, deals, tasks and conversations, in the everyday apps. No money, books or settings. |
| Read only | Can look at everything except Team and HR, and change nothing. |
Everyone already in BizOS keeps what they could do before. An account admin is an Admin, and anyone else is a Manager, until you choose something different.
Choose someone's role
- Open Team.
- Choose the accounts button beside their name.
- Under each account, pick a Role. It takes effect straight away.
What a role controls
- Apps. For each app: No access hides it, View lets them look, Edit lets them add and change, Full also lets them delete.
- Whose records they see. For contacts, deals, tasks and conversations: everyone's, or only their own. Their own means assigned to them or created by them.
- Sensitive things. Give refunds, see money figures, export data, delete in bulk, manage the team, manage billing, and manage integrations and API keys.
Make your own role
On Team, choose New role under Roles, name it, and set each choice. A role belongs to your agency, so you can use it in any of your accounts. To delete one, move everyone off it first.
Good to know
- The rules are enforced by the database, not only by hiding things, so a person can't get round them with a link or an export.
- A person who can't use an app doesn't see it in the menu.
- Sidekick follows your role too. If you ask it for something your role doesn't allow, it says so.
- Removing someone from the agency removes all their roles at once.
